Courses: Cancellation by the Student

Once you have completed your booking and received confirmation of your enrolment, you are deemed to have entered into a contract with Art Academy. It is essential that students carefully consider their availability and commitments at the time of booking.

  1. You may cancel your course up to 6 weeks before the course start date and receive a 90% credit note. The remaining 10% of the course fee is non-refundable and covers administrative costs.

  2. If you cancel between 6 to 4 weeks before the course start date, you will receive a 50% credit note.

  3. If you cancel within 4 weeks of the course start date, no refund, credit, or transfer will be provided under any circumstances. Last-minute cancellations or non-attendance may prevent someone on the waiting list from attending.

If you are unable to attend due to unforeseen circumstances, you may find a replacement attendee to take your place. Please notify us at courses@artacademydirect.com with the replacement’s details at least 1 week before the course starts.

All cancellation requests or changes to bookings must be submitted in writing to courses@artacademydirect.com. Requests via phone calls are not accepted.

Workshops & Demos: Cancellation by the Student

  1. You may cancel a workshop or demo up to 6 weeks before the event date and receive a 90% credit note. The remaining 10% of the workshop fee is non-refundable and covers administrative costs.

  2. If you cancel between 6 to 4 weeks before the workshop or demo start date, you will receive a 50% credit note.

  3. If you cancel within 4 weeks of the workshop or demo start date, no refund, credit, or transfer will be provided under any circumstances. Last-minute cancellations or non-attendance may prevent someone on the waiting list from attending.

  4. Due to the preparation required for each student, including ordering supplies, creating samples, and other arrangements, last-minute cancellations are strictly not allowed.

If you are unable to attend due to unforeseen circumstances, you may find a replacement attendee to take your place. Please notify us at courses@artacademydirect.com with the replacement’s details as soon as possible.

Cancellation by Art Academy

We reserve the right to reschedule or cancel classes. Reasons for this may be, but not restricted to, low enrolment numbers, weather warning and tutor availability.

  1. All our classes require a minimum number of enrolments. If a course does not reach the minimum of 8 students, it will be cancelled no later than 3 days before the scheduled start. In this case, students will be given the choice of enrolling in another course, subject to availability, or receiving a full refund.

  2. We may be required to cancel an individual class at short notice. Wherever possible we will endeavour to offer the class at a later date. If it is not possible to rearrange this class a refund will be provided for the missed session only.

  3. Art Academy reserves the right to substitute teachers of any course at the last minute or during the class.

No Replacement Lessons Policy

  1. We understand that unexpected situations arise, such as illness, birthdays, or travel plans. However, our priority is to maintain small class sizes to ensure that each student receives the attention they deserve. Allowing replacement lessons would risk overloading the class and the teacher, compromising the quality of instruction. For this reason, Art Academy does not offer replacement lessons or make-up sessions under any circumstances. Once a lesson is missed by the student, it cannot be rescheduled or replaced.

  2. Participants may arrive late or leave early if necessary, but this will not entitle them to a refund or credit.

Materials during Courses/Workshops/Demonstrations

  1. Most course, workshop, and demo fees do not include materials – please check course details. Any associated costs are the student's responsibility and are incurred at their own risk should a class be cancelled.

  2. Due to health hazards, the use of oil paints, turpentine, linseed oil, and other materials related to traditional oil painting is prohibited. Students may use acrylics, watercolours, or water-mixable oil paints instead.

Communication with Students

  1. All course material lists, updates, and important communications will be sent to the email address provided during registration. It is the student's responsibility to ensure they provide a valid email address.

  2. Art Academy is not responsible for issues arising from incorrect or non-functional email addresses. Email is the primary communication method; we do not send updates via SMS or phone.

Medical Conditions

  1. Parents/Guardians, or students if over the age of 18, are obliged to inform Art Academy and the teacher (in writing by way of a signed note or similar) of any medical, behavioural or allergic conditions relevant to the student's behaviour in class. Whilst Art Academy takes all the necessary steps to offer a safe and comfortable environment, it cannot hold itself responsible for injuries which students might suffer during the course and/or excursions. 

  2. We understand the importance of providing a safe and inclusive learning environment for all our students. In order to ensure the best possible experience for every participant, we kindly request parents or guardians to inform Art Academy at the time of booking if their children have any specific learning difficulties. By sharing this valuable information with us, we can better understand the individual needs of your child and make necessary preparations to facilitate their participation in the course. However, it is important to note that Art Academy does not offer dedicated Learning Support Educators (LSE) for students with learning difficulties during the course. Please rest assured that any information provided regarding your child's learning difficulties will be treated with the utmost confidentiality and sensitivity.

Force Majeure Events

  1. In the event of a force majeure or pandemic, we shall make every effort to accommodate our participants by either postponing the course to a suitable future date or providing a refund for the course fee, as applicable.

  2. Health Issues & Illness – Individual health issues or illness are not considered force majeure events. Refunds, credits, or transfers are not provided due to illness. The standard Cancellation by Students Terms & Conditions apply.

Students' Behaviour in Class/Excursions

If the teacher notices on a regular basis that the student is in any way being disobedient, offensive and/or of distraction to other students, the student will not be allowed to continue the course. This also applies to any students who in any way vandalize any property items and/or materials before, during or after the class. In all instances, a refund will be issued for the remaining lessons and the teacher's decision is final and undisputed. At Art Academy we strongly believe that all students have the right to equally participate, learn and enjoy the art lessons. 

Data Protection

Art Academy may occasionally take photographs during class activities or events for use in Art Academy's publications, social media and website. These photos will only be used for such publicity materials and no names or any other personal data will be attached with the photos. If you would like to opt out of this please inform Art Academy upon registration.
